Reception Hours for First-time/Follow-up patients Clinical Department
8:30 a.m. – 11:00 a.m. Internal Medicine, Nephrology, Hematology, Respiratory Medicine, Diabetes and Metabolism, Gastroenterology, Cardiovascular Medicine, Neurology, Surgery, Cardiovascular Surgery, Orthopedic Surgery, Neurosurgery, Dermatology, Radiology, Anesthesiology (Pain Management Clinic), Pediatrics, Obstetrics and Gynecology, Otolaryngology, Urology, Dentistry and Oral Surgery
8:30 a.m. – 10:30 a.m. Ophthalmology
12:30 p.m. – 3:00 p.m. Plastic Surgery

Non-Consultation Days: Saturdays, Sundays, National Holidays, Year-end and New-year Holidays (December 29 – January 3)

  • As a general rule, first-time patients (excluding pediatrics) MUST bring a “Referral Letter (紹介状 / Shokaijo)” from another medical institution and make an appointment.
  • The start time of consultation and non-consultation days differ by clinical department. Please contact us for details.
  • Operation of “Check-in Kiosks for Follow-up visits (自動再来受付機 / Jido Sairai Uketsukeki)” start at 7:55 a.m.

Outpatient Consultation

Make sure to bring Referral Letter

  • All clinical departments, except pediatrics, operates by referral and appointment only systems.
  • A Referral Letter (medical information document) from a doctor such as a “Primary Care Physician” is required for the first visit at our hospital.
  • Please make an appointment with a doctor at the Sendai City Hospital in advance. Without an appointment, you may have to wait a long time without the guarantee that you will receive care same day.

First-Time Patients (with Referral Letter and Appointment)

Procedure for Outpatient Consultation
First-Time Check-in
  • Check in at reception counter No. 1 “New Patients Reception (新患受付 / Shinkan Uketsuke)” on the 1st floor.
  • Fill out a “Patient Registration Form (診察申込書 / Shinsatsu Moushikomisho)” at the designated space (a long desk near the entrance), submit this form to the New Patients Reception counter, and receive your number card. The staff will call you in order.
  • The reception counter opens at 8:30 a.m. When you arrive before 8:30 a.m., fill out the Patient Registration Form and wait, sitting in the chairs in-order of completion, until the counter opens.
  • When your number is called, submit your Referral Letter and Myna health insurance card, alongside any other applicable items to the reception staff. Those who are seeing a doctor for injuries relating to a car accident or workplace injury, please notify the receptionist at this time.
Department Check-in
  • After the First-Time Check-in procedures are completed, the staff will give you your “Outpatient Schedule (外来基本スケジュール / Gairai Kihon Schedule)”, “Reception Number Slip (受付番号票 / Uketsuke Bangohyo)” and “Patient ID Card (診察券 / Shinsatsuken).” Go up to “Outpatient Consultation Receptions (外来診療受付 / Gairai Shinryo Uketsuke) (Department Block A to F)” on the 2nd floor* and submit the Outpatient Schedule to the department reception which you are visiting.
    *: The pediatric clinic is located on the 1st floor.
  • When the doctor is ready to see you, the staff will call you by the number on your Reception Number Slip. Please keep your slip with you until you check out.
  • The “Reception Number (受付番号 / Uketsuke Bango)” and the scheduled time for consultation and/or test(s) will be listed on your Outpatient Schedule. Display monitors in the waiting area will let you know when it is your turn.
Consultation / Examination
  • When your number is called, please make your way to the examination room. Your doctor will write your prescription and schedule your next appointment as needed.
  • After the examination is finished, turn in your Outpatient Schedule to the reception counter where you are visiting. The staff will calculate the medical fees and issue a payment slip.
Check-out
  • Go down to the 1st floor to submit the payment slip and prescription to reception counter No. 2 “Cashier (会計・お支払い / Kaikei・Oshiharai)” to pay. Once finished, you will receive a receipt, and your prescription will be returned to you.

First-Time Patients (with Referral Letter but without Appointment)

Procedure for Outpatient Consultation
Walk-in Check-in
  • Check in at reception counter No.7 “Walk-in Reception (当日受付 / Tojitsu Uketsuke)” on the 1st floor.

  • The ticket machine on the reception counter starts operating at 7:55 a.m. and the reception counter opens at 8:30 am. When you arrive, please take a number ticket and wait for your turn. When your number is called, a nurse will ask you a few questions.

  • Once the reception staff makes your walk-in appointment, the check-in procedure will begin.

  • Regarding next steps, follow the steps between “Department Check-in” and “Check-out” described in “First-Time Patients (with Referral Letter and Appointment).

Follow-up Patients with Appointment

Procedure for Outpatient Consultation
Follow-up Visit Check-in
  • Follow-up patients can check in at the self-service machine, No. 5 “Check-in Kiosk for Follow-up visits (自動再来受付機 / Jido Sairai Uketsukeki)” on the 1st floor.
  • Insert your Patient ID Card into the kiosk to check in. Once completed, the kiosk will return your Patient ID Card and a copy of your Outpatient Schedule and Reception Number Slip will be issued. Put your Outpatient Schedule into a nearby clear folder.
Department Check-in
  • Go up to “Outpatient Consultation Receptions (外来診療受付 / Gairai Shinryo Uketsuke) (Department Block A to F)” on the 2nd floor* and submit the Outpatient Schedule to the department reception which you are visiting.
    *: The pediatric clinic is located on the 1st floor.

  • Regarding next steps, follow the steps between “Department Check-in” and “Check-out” described in “First-Time Patients (with Referral Letter and Appointment).

Reschedule of Appointment

  • When you reschedule your appointment, call the number below between 3:00 p.m. – 5:00 p.m. on weekdays by the day before your scheduled visit. Please prepare your “Appointment Slip (個別予約票 / Kobetsu Yoyakuhyo)” or your Patient ID Card when rescheduling.

  • Depending on the details of your appointment, there are some cases where you won’t be able to reschedule for your desired date and time.
